Yes. An annual subscription renews for another year unless you cancel before the renewal date. Renewal Details show the next term's plan level, committed users and Usage Wallet target. This section appears automatically when renewal is within two months, or earlier if you have already scheduled changes. Adjustments made there apply to the upcoming term rather than the active subscription. Adding wallet funds during your current term does not change the wallet amount scheduled for renewal.
Yes, when annual plans are available to your organization. In Plan & Billing, select the annual plan level and Convert to Annual, review the Customize step if shown, and complete checkout. Most conversions start immediately after checkout. Moving to an annual version of a lower plan tier schedules the conversion for the first of the following month instead. Your current monthly plan remains available until the scheduled conversion takes effect, including while the change is pending.
Yes, paid-plan trials last 14 days and require no credit card to start. Without billing information, your organization moves to the free Individual plan when the trial ends. With a card on file, the trial converts to the corresponding paid monthly plan and the card is charged. Organization Owners and the billing contact receive an email reminder before that charge. You can end the trial earlier by opening Settings, selecting Plan & Billing, and clicking End Trial.
Non-educational, non-governmental organizations with tax-exempt status under section 501(c)(3) can apply for discounted rates. Discounts are available in many cases across the plan levels, and applications go through the support team. During billing setup, a nonprofit selects Business as its organization type and supplies its business name and EIN or VAT number where applicable. Billing also requires a name, email address, billing address and payment method. Each organization has its own subscription rather than sharing another organization's paid plan.
Subscription payments are generally non-refundable, except where required by law or expressly covered by the terms. Cognito Forms refunds unused prepaid monthly or annual subscription fees on a prorated basis if it terminates service without cause. Termination for a terms violation does not qualify. Canceling, downgrading or leaving subscription time unused does not produce a prorated refund or credit during an active billing period. Prepayment credits are also non-refundable, and voluntarily deleting an organization does not create a refund entitlement.
Yes. Invoice payments require a check in US dollars and prepayment for at least three months of the selected subscription. Under Credit Balance in Plan & Billing, open Prepay: Buy Credit & Save!, select the months, users and plan, then click Select & Prepay. Enter the billing information, select Invoice under Payment Method, and include the purchase order number. Clicking Change Plan opens a copy of the invoice together with the instructions for completing the payment.
Tax depends on your billing location and tax details. US customers with billing addresses in certain states can receive sales tax charges on their invoices. Cognito Forms also collects VAT on subscriptions for organizations in EU member states. An EU organization without a valid VAT number is charged at its country's required rate. The VAT number must match the country in the billing address. Billing details can be edited in Plan & Billing, and saved changes apply to the next invoice.
Additional users and usage beyond your plan's allowances can increase the total. Extra annual-plan users are committed for the remainder of the term and billed to the card on file on the following monthly invoice. Removing those users does not reduce that commitment mid-term. Guests, custom document templates, storage and API usage draw on the Usage Wallet according to actual monthly usage. Wallet funds can be added immediately during the term, and a low-balance notice provides guidance when more funding is needed.
Upgrades take effect immediately, with the price difference prorated for the time remaining in the current billing period. An organization Owner can change the subscription through Settings and Plan & Billing. Selecting the new plan opens the billing step, where a move to a paid subscription requires billing information and a payment method. Credit-card checkout and invoice payment have separate payment steps. If a card is declined during annual checkout, the organization stays on that screen to update its payment details and retry.
A monthly downgrade takes effect at the next billing date; an annual downgrade can be scheduled for the next renewal. The current annual commitment continues through its active term, and canceling annual renewal does not shorten that period. Organization Owners manage plan changes, including the switch to Individual, from Plan & Billing in organization settings. The free Individual option is limited to one organization at a time. Creating additional organizations under the same user account does not extend an existing organization's premium subscription to them.
