Google Workspace does not refund annual commitment payments when you cancel before the term ends. An Annual/Fixed-Term Plan commits you to one or multiple years of service and a purchased number of licenses. Ending the subscription early leaves you responsible for the contract's full value, and Google charges any remaining unpaid balance. Monthly installments do not remove that commitment. You can add licenses during the term, but reducing licenses and lowering the subscription price must wait until renewal. Billing options appear during signup and depend on your region and purchase method. To end an Annual/Fixed-Term subscription without a cancellation penalty, wait until the contract ends.
Contact your Google Workspace reseller about a refund for a discounted subscription purchased through that reseller. In the Admin console, open Billing and Subscriptions and inspect the Payment plan column. A reseller purchase shows Reseller pricing and the reseller's name, identifying the company to contact about the discounted order. Your reseller also handles payment-method changes, license purchases, and additional services. An administrator can open Support on the Admin console Home page, then select Contact support in the Help window. This provides a button to the reseller's website or its contact information. Accessing that support route requires the Support administrator privilege. Use the reseller named beside your specific subscription.
A Google Workspace promotion can fail when your order does not meet its license limits or minimum monthly bill requirement. Select your billing plan and click Promotion code during billing setup to display the offer's terms. Google displays a message if the order does not meet those conditions. The offer must be entered at this stage because it cannot be added later. Click Continue to review the order summary, which shows the promotion and its terms rather than the discounted amount. The discount appears in transactions after paid service starts, with applicable taxes included in billing. Open Billing, Payment accounts, then View invoices beside your subscription to see the applied saving.
A Google Workspace referral promo code can be redeemed by only one customer account in the referrer's region. The referral offer gives that customer a 10% per-user discount for the first year, alongside a 14-day trial. Business Starter, Business Standard, and Business Plus are the eligible editions under the referral program. For U.S., Canadian, and EMEA customers, the offer must be entered with billing information before completing trial signup. The billing summary shows a promotional discount note, while monthly billing reflects the actual saving as users and plans change. Enter the offer in the Promotion Code field before checkout in those regions.
An eligible Google Workspace credit-balance refund can take up to four weeks for your bank or card company to process. Promotional and courtesy credits are not refundable, and payments already applied to charges cannot be refunded through this request. In the Admin console, open Billing, then Payment accounts, and select your subscription's account ID. Under Your balance, select Request a refund, select the original payment methods to receive eligible amounts, and click Submit. The refund goes to the card or account that paid the credited amount. Google emails status updates and displays progress on Payment accounts. Look for Refund complete there to confirm delivery to your payment method.
Canceling a Google Workspace Flexible Plan stops new charges, but you still pay for service already used. Monthly billing covers the user accounts you had during that month. Adding or removing users partway through a month produces prorated charges for those accounts. For example, a user added at the start of a month and removed halfway through is charged for half a month of service. Open Billing and Subscriptions in the Admin console to cancel your subscription. Outstanding usage is billed at the start of the following month. If you are still within the 14-day free trial, cancel before it ends to avoid subscription charges.
Google Workspace payment methods depend on the country selected when you first set up your billing account. Google accepts major credit cards, including Visa, Mastercard, and American Express, and supports bank-account direct debit in selected locations. U.S. customers can pay in U.S. dollars with a credit or debit card or bank-account direct debit. Prepaid cards, virtual credit cards, and customer-initiated bank transfers are excluded from subscription payment methods. Wire transfers require an invoiced billing account. Enter an eligible referral offer when providing billing information, before completing trial signup in the U.S., Canada, or EMEA. For U.S. billing, select a supported card or direct debit rather than a prepaid card.

Google Workspace requires switching an Annual/Fixed-Term subscription to the Flexible Plan before you can downgrade. Before renewal, a scheduled switch takes effect on the renewal date, so the downgrade must wait until then. You remain responsible for the annual commitment's remaining balance. During the free trial, you can switch to Flexible before paid service begins. For a subscription past its trial, open Billing and Subscriptions in the Admin console and select the subscription. Under Plan renewal, select Change renewal settings, choose Switch to the flexible payment plan, and save. The Flexible Plan has a different monthly price. The renewal date shown under Plan renewal determines when the switch takes effect.
